Job Designation

The Order Management Specialist has responsibility for the administration of a number of customer accounts of significant value to the company, often requiring the resolution of complex customer issues. Works with other departments to ensure all aspects of customer account administration, in both development and production phases are resolved, and acts as a liaison between customers, programme management and operations.

Job Core Responsibilities

•    Maintains effective communication with customers to ensure timely resolution of open actions for all customer service related issues
•    By maintaining effective communication, provides excellent customer service through communication and problem solving, including quick response to customer inquiries, to ensure customer satisfaction
•    Manages customer orders through the business unit Material Requirements Planning System, and inputs into customer portals relating to order management, ensuring all required information is up to date.  
•    Resolves complex customer issues and maintains knowledge of complex account information 
•    Coordinates approvals for non-standard pricing internally and with the customer 
•    Ensures the terms in the order are consistent with approved positions or, if not, are appropriately referred with the organisation 
•    Generates required customer and departmental reports, and is responsible for meeting performance against Key Performance Indicators with respect to the Customer Account Specialist’s accounts 
•    Coordinates with departments to resolve and close actions
•    Ensures compliance with company procedures
•    Supports the development of the wider team including peers and more junior members

Job Specifications

Education Level:

(Required):     High School Diploma or GED    or equivalent experience
            
(Preferred):     Bachelor's Degree  or equivalent experience                  

Field of Study/Area of Experience: Typically requires a Bachelor’s degree and a minimum of 2 years of related experience or an advanced degree without experience; or equivalent work experience in Customer Account Administration

•    Ability to gather data, to compile information, and prepare reports
•    Excellent verbal and written communication skills 
•    Well-organized, detail-oriented, and ability to multi-task
•    Strong computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, Access, Outlook, and web-browsers
•    Ability and willingness to learn new concepts, skills and techniques
•    Ability to clearly communicate using different mediums
•    Self-motivated
•    Able to establish effective relationships
•    A “can do” approach to work and the satisfaction of customers’ requirements
•    Awareness of limitations and the ability to escalate when necessary
•    Ability to manage more complex customer claims / issues, involving difficult conversations
•    Ability to articulate complex matters both verbally and in writing
•    Ability to identify straightforward risks and opportunities and begin to formulate mitigation and closure strategies
