Job Designation

The Payroll Administrator is responsible for the end-to-end processing of company payrolls, tax data, time files and third-party file feeds into the Payroll system.  Generates standard reports and outgoing interfaces with third party vendors and performs validation/reconciliation of payroll related data.  Responds to and troubleshoots customer inquiries related to payroll, tax, deductions or related financial issues, and escalates complex situations, when appropriate.  This role is responsible for the timely and accurate completion of payroll for all employees while ensuring compliance of legal federal, state and local requirements as they relate to payroll, taxes and garnishments.  

Supports the daily operations and execution of all payroll and tax related processes. Duties include 1) Timely and accurate processing of payroll 2) Timely processing and auditing of time files 3) Timely and accurate reconciliation of payroll, taxes and time data 4) Timely and accurate preparation of adjustments that impact tax filings 5) Interaction with Payroll provider and other third party providers/vendors.

This position has knowledge of US laws, rules and regulations, policies and procedures, audit and internal control guidelines to process timely and accurate payrolls, tax payments and garnishments.

Job Core Responsibilities

  • Responsible for processing on-cycle and off-cycle payrolls, post payroll activities, including preparation and validation of all payroll output transmissions, identification and resolution of payroll errors, and validation of all payroll data/reports.
  • Responds to and resolves customer inquiries regarding payroll and tax information, garnishments and other deductions.   
  • Provide support in reconciling/resolving GL errors.
  • Responsible for processing, validating and reconciling time files.
  • Responsible for processing special payments to employees, including grossed-up adjustments, wage loans, payroll adjustments, imputed income adjustments, benefit adjustments, special bonus awards, stock transactions, and STD and commission payments.
  • Responsible for assisting in the testing of all system updates, version upgrades and enhancements to the payroll system of record.
  • Assist with facilitation of future PayForce implementations.
  • Participate in special year-end payroll processing.
  • Complies with federal, state and local legal requirements by assisting in the application and testing required system updates.
  • Maintains employee confidence and protects payroll and company operations by keeping information confidential.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional associations when possible. 
  • Contributes to team effort by accomplishing related results as needed.
  • Regular, consistent and punctual attendance is required. May need to work nights and weekends, variable schedule(s) and additional hours as necessary.

Job Specifications

Education:  High school diploma

Years’ Experience: 2-4 years of relevant experience


  • FPC (Fundamental Payroll Certification preferred
  • Attention to detail and accuracy; committed to excellence; continuously looks for improvement opportunities; ability to work independently; highly organized with excellent follow-up skills
  • Strong analytical skills; excellent verbal & written communication & presentation skills
  • ADP experience preferred (ADP PayForce) and additional ERP experience preferred (SAP, Oracle, Lawson or PeopleSoft)
  • Knowledge of US payroll laws, rules and regulations, policies and procedures, audit and internal control guidelines
  • Knowledge of Microsoft Excel & Access; knowledge of accounting and HRMS
  • Knowledge of multi-state and local tax jurisdictions
  • Experience implementing new timekeeping and/or payroll systems preferred
  • Union payroll experience a plus
  • Effective interpersonal skills to handle sensitive and confidential information/situations and documentation
  • Strong attention to detail, good organizational skills and the ability to prioritize with changing situations
